1.What we collect

We collect only what is needed to examine and treat you. We do not collect data speculatively in case it is useful later:

• When you book or contact us: your name, phone number, email, preferred clinic and time, the treatment you are interested in, and anything you write in the notes field.
• When you attend: your date of birth and your clinical record — medical history, X-rays, intraoral photographs, and your treatment plan and its progress. Your clinical record is sensitive personal data under Decree 13/2023/ND-CP and is handled under the separate regime described in section 4.
• When you browse the website: anonymous technical data such as device type, browser and pages viewed, used for measurement and for fixing display faults.

We do not ask for national ID numbers, bank details or passwords through this website. If anyone contacts you in our name asking for those, please call our hotline on 0859 989 999 to verify.

2.What we use it for

• Confirming your appointment and reminding you about reviews.
• Creating and updating your clinical record so your treatment stays continuous and accurate, and preparing your treatment plan and warranty card.
• Retrieving your treatment history when you attend a different clinic in the network.
• Handling warranty claims, complaints and aftercare.
• Improving the quality of our service and the patient experience.
• Sending you offers — only if you have agreed, and every message includes a way to stop receiving them.

We do not sell, trade or rent your personal data to third parties for advertising.

3.Who can access your data

We do not share, trade or disclose your information to third parties except with your permission, at the request of a competent authority, or to the extent strictly needed with the parties below:

• Our staff: only the treating dentist, their assistant, and the patient care staff handling your file.
• Technical partners: providers of hosting, messaging and website measurement, to the extent needed and under contractual confidentiality obligations.
• Dental laboratories: they receive impressions and technical specifications only, with no information identifying you.
• State authorities: where there is a lawful written request.

4.Health data is handled separately

Your clinical record is sensitive personal data. It is stored separately from marketing data, access is granted by role, and every access is logged. Clinical records are retained for at least 10 years from your last treatment as required by medical record retention rules, and are destroyed by a controlled process after that.

5.Retention periods

• Appointment details where no treatment followed: 12 months.
• Clinical records: at least 10 years from the last treatment.
• Data supporting a warranty: for the warranty period committed to.
• Anonymous website technical data: 26 months at most.

6.Your rights

Under Decree 13/2023/ND-CP you have the right to be informed, to give and withdraw consent, to access, correct, delete, restrict and object to processing at any time, to request a copy of your data, to opt out of promotional messages, and to complain if you find your information has been misused or used for another purpose.

To exercise any of these, write to support@dentalvietnam.com.vn or call 0859 989 999. We respond within 72 working hours. On deletion requests, the part of your clinical record that the law requires us to keep cannot be deleted — we will tell you specifically what is retained and why.

7.Your responsibilities

To help keep your information protected and used for the right purpose, please:

• Give accurate, complete and up-to-date information when booking and registering for treatment.
• Keep your personal account (if you have one) secure and do not share it with anyone.
• Tell us straight away on 0859 989 999 if you see any sign that your information has leaked or is being used without permission.

8.Security and incidents

The website uses HTTPS encryption. The system holding patient data is protected by a firewall, data encryption, regular backups and internal access restricted by role. No system is perfectly secure; in the event of a data breach we notify the people affected and the competent authority within 72 hours of discovering it.

9.Cookies

The website uses cookies to remember your preferences and to measure traffic. You can block cookies in your browser settings; some conveniences may then not work fully, but reading the content and booking an appointment will still work normally.

10.Children

For patients under 16, appointments and treatment must be arranged and consented to by a parent or guardian. We do not knowingly collect children's data through this website.

11.Changes to this policy

When this policy changes, the new version is published on this page with its update date. For changes that materially affect your rights, we notify you in advance by email or at the phone number you registered.
